Running your first outreach campaign
From connecting your inbox to reading the results — a practical walkthrough using what’s live in the Sales Agent today.
Know how a campaign works
A campaign is a follow-up sequence: a max number of follow-ups, a wait window between each step, and a channel sequence (Email, WhatsApp, SMS — in the order you choose). The Sales Agent sends the first message, then automatic follow-ups on that schedule until a lead replies or opts out.
Connect your inbox (and Twilio, if you want WhatsApp or SMS)
Email works out of the box once your Gmail account is connected. WhatsApp and SMS run through Twilio — add your Twilio Account SID, Auth Token, and numbers from Settings → Integrations.
Until Twilio is connected, WhatsApp and SMS show as locked when you build a campaign — Email-only campaigns work immediately.
Fill in your AI Knowledge first
Before creating a campaign, add your company and product context from AI Knowledge in the dashboard. Without it, the agent still sends — but the copy is generic instead of sounding like your team. The campaign builder will warn you if this is still empty.
Create your first campaign
From Campaigns → + New Campaign, set:
- Campaign Name — internal label, e.g. “Cold Outreach Q3”.
- Max Follow-ups — how many follow-up steps run after the first message.
- Wait Days Between Steps — comma-separated, e.g.
3,5,7. - Outreach Channels — pick a preset (Email only, Email → WhatsApp → SMS, etc.) or drag to build a custom order.
Add prospects
From Prospects → Add Prospect, add contacts one at a time — name, email, company, and optionally job title or phone — then assign them to your campaign. The more profile detail you add, the more specific each personalized message can be.
Choose auto-send or human review
From Automation, decide how drafts get sent. With Auto-send enabled, AI drafts send automatically once their reply-classification confidence clears your Auto-send threshold. With Human review required, every draft lands in your Inbox for approval first — these two are mutually exclusive.
You can also restrict auto-send to specific reply types under Auto-Send Allowed For (booking requests, FAQ questions, pricing questions, and so on) — anything not selected always goes to human review.
What happens when a lead replies
The Sales Agent classifies the reply and acts on it — drafting an answer to a question or objection, or sending a booking link if the lead is ready to meet. Once they pick a time, the meeting is confirmed automatically. If you’ve connected HubSpot or Salesforce, stage updates sync when a meeting is confirmed.
Watch the Monitor tab
The Sales Agent’s Monitor tab shows active prospects, replies, hot leads, your follow-up queue, meetings booked, and human handoffs — the fastest way to see whether a campaign is actually working.
